The payment of your deposit is confirmation to Up and Active that you the client accept all the terms and conditions. We please advise you to read through these carefully prior to booking.
Pre booking on a camp is necessary for you to reserve your place. You the client contacts Up and Active with your chosen camp or event and we will send you a booking form to complete and return to us. Upon signing of this form and paying the deposit you are agreeing to the terms and conditions of our booking policy and enter into a contract with Up and Active. If you are booking on behalf of a group you are responsible for passing on all the information to the others.
Up and Active will hold your place on the choosen camp or event for up to 14days from your enquiry. You then must pay your non refundable deposit. Upon receipt of your £50 deposit by Up and Active will send you written confirmation of your place. At the time of the booking you can choose to pay the deposit and or the full balance on a secure online payment facility, paypal.
The full balance of the camp or event must be completed 14days prior to the start date of the camp. If your full payment is delayed, and no correspondence is received by the date stated, Up and Active hold the right to cancel your place and potential replace your booking with a reserve client. We have the right to retain your deposit and relevant cancellation charges apply detailed in the terms and condition policy.
All Up and Active camps and event are offered subject to availability as there are limited numbers on certain camps to keep safety as a key importance. It will be a first come first serve basis and we will have reserve lists if necessary and you will be informed of your position and as soon as any places become available.
Once your booking in confirmed in writing by Up and Active, any changes you wish to make to your choosen camp or event must be notified in wiriting immediately and we will do our upmost to help you with these changes if they are before the 14days prior to departure. There will be an amendment charge of £10 per person on the booking forms to cover administration costs incurred. We cannot guarantee that all requests for amendments will be satisfied. For changes notified within 14 days of your departure date will be treated as a cancellation of your original booking and apply the relevant cancellation charges as detailed in these booking terms and conditions below.
If you need to cancel your camp or event booking at any time Up and Active must receive written confirmation from the person who filled in the booking form. The cancellation will take effect from the date that such notice is received by Up and Active and we will retain your deposit and relevant cancellation charges as detailed below. If you cancel your camp or event with Up and Active the charges are expressed as a percentrage of the total camp, event cost.
More than 14 days prior to departure you will lose your Deposit only, Less than 14 days prior to departure you will lose 100% of your payment.
Please check your own travel insurance policy as you may be able to reclaim some of the charges depending on the reasons for you cancellation.
In an unlikely event Up and Active have to cancel a camp or event, we reserve the right to do at anytime. In these circumstances you will be informed as soon as possible and you will be entitled to book onto another camp or event (where the cost is less, you will be refunded the difference, but where the cost is more, you will be expected to pay the additional cost) or receive a full refund of all monies paid for the camp. Up and Active will not be liable for any flight costs incurred by the client.
Up and Active also reserve the right to cancel your package in the unlikely event that the minimum number of participants required for each camp is not attained by 3 weeks prior to departure.
Up and Active will do their best to deliver the camp as detailed on the website, but occasions may arise where we are unable to follow the advertised programme. Our provisional programmes are put forward as an account of our intention only, but for reasons out of our control (sports facilities, weather, safety) we may alter the programme but deliver this to match as close to the original outline. If we know of any minor changes to the camp prior to your departure we will inform you in writing.
Up and Active are not liable for any cancellations, injury or any additional expenses are incurred through training, traveling, delays, accident or disruptions of planned itineraries beyond our control, e.g. war, threat of war, riots, civil strike, terrorist activity, strikes, governmental action, natural disasters, fire, technical problems of transport, closure of ports or airports, cancellation or changes of schedule by scheduled airlines, or similar events beyond our control, such expenses are to be paid by the clients.
A valid passport is required to gain entry into Spain, Lanzarote, France and Estonia and this must match your booking form. If you need to apply for a new passport or for its renewal, make sure you do this at least eight weeks before departure. It is you, the client's responsibility to check the Visa Entry requirements of the country of your camp or event to comply with correct entry procedures.
At present no vaccinations are required for any of the Up and Active camps or events. The Department of Health provides health advice for travelers and online application for an EHIC card giving citizens of member states reciprocal health benefits within the EU. We would like to strongly recommend you to seek medical approval from your doctor that you are physically fit for the activities that take place on the camp.
Booking on to an Up and Active Camp or event will require you to read and sign a waiver form prior to departure. This is available on the website to read and we will send you a copy to sign and return.
Whilst we reserve the right to increase or decrease website camp prices at any time, once you have booked your holiday and paid the deposit, the price of your holiday as shown on your booking confirmation is fully guarenteed and will not be subject to any surcharge.
Up and Active are not responsible for booking flights for any of the camps but we are here to advise you on the airlines, airports for each of the camps. We are not liable for missed departure, flight cancellation or airline/airport problems and therefore any subsequent costs attached to this. We strongly advise you to have your own travel Insurance and book flights with credit card to allow some insurance.
Up and Active are unable to allow children on their camps unless stated in the summer family camps. All participants must be over 18 years old. We have the right to allow certain children on camps, upon special requests only, if we have sufficient support and or agreement from parents and staff.
Participation of disabled people on our camps or events are welcome, but you must inform us prior to booking so that the specific needs of the client are be met. Up and Active will do their best to accommodate those with disabilities in every aspect to allow full particiapation of the camp or event. Up and Active hold the right to deny client's attendance to parts or all of certain camps or events if this will cause too much disruption to the other clients or put yourself and the other clients safety in danger.
Please state at the time of booking whether you have special requests or need extra assistance in respect of a disability, and identify what those are. Please note special requests, such as low floor, food allergies, food requirements, lift access, etc cannot be guaranteed unless you have requested these at time of booking.
Up and Active allow clients to bring spectators or partners to join them on camps (number of guests are limited to availability and Up and Active reserve the right on some camps to restrict the numbers). When booking your camp please inform Up and Active if you wish to bring an additional person that will not be participating in the camp. This person will not pay the coaching fee but Up and Active reserve the right to the price required for that person to pay to be in adendance to cover for example for subsistence, and any extra costs for travel and accommodation, sporting entrance costs, facility use and administation costs. Any spectators deemed under the influence of drugs and alcohol will not be permitted to be close to the clients or in the sporting venues. Spectators are required to comply with the venue’s terms and safety procedures and expectations of conduct. If Up and Active deem the spectator or partner to be gaining from the camp, we have the right to request further payment. Up and Active also have the right to ask the person to stay away from certain activities if other clients feel uncomfortable.
Up and Active welcome your feedback on all of our camps and events. If you have a complaint or issue on a specific camp or event, please bring this up with the Up and Active representative onsite. We are there to make sure you have everything that you need and expect from the camp or event. If your problem is not resolved during the camp, please contact us on firstname.lastname@example.org and we will be happy to look into the complaint on your behalf.
Up and Active have the right to amend the terms and conditions at our discretion and will inform clients through the new pages on the website. Please always check the terms and conditions each time book a camp or event. The terms and conditions posted on the website at the time of booking shape the understanding of the parties and supersede all previous agreements, understandings and representations relating to the subject.
This contract is made on the terms and of these booking conditions which are governed by English Law and both parties shall submit to the jurisdiction of the English Courts at all times.
If any provision of these terms and conditions is found to be unenforceable, this shall not affect the validity of any other provision. Up and Active may delay enforcing its rights under these terms and conditions without losing them.
